Position Summary
We are seeking a highly organized and motivated Project Coordinator. You will assist with the planning, coordination, and execution of various construction and facility improvement projects across the company’s commercial and residential properties. This role serves as a key liaison between internal stakeholders, vendors, contractors, and third-party consultants to ensure project timelines, quality standards, and budgets are met. The position also provides hands-on operational support for on-site project logistics and documentation.
Key Responsibilities
• Assist in planning and implementing commercial tenant improvement (TI) projects, capital repairs, and facility upgrades.
• Gain exposure to structural, regulatory, and permitting processes related to building upgrades and major facility interventions as assigned.
• Coordinate site access, contractor schedules, and materials delivery.
• Track project progress and maintain records of timelines, budgets, and vendor correspondence.
• Work closely with the internal accounting team to align project costs with budget allocations, review vendor invoices, and track recoverable vs. non-recoverable items.
• Coordinate with external leasing brokers and legal counsel on project scopes that impact lease obligations, tenant turnover conditions, and TI allowances.
• Ensure that project execution aligns with financial reporting needs and leasing timelines.
• Communicate regularly with general contractors, designer, trades, engineers, and consultants to clarify scope and resolve site issues.
• Assist in soliciting and reviewing quotes, ensuring alignment with project objectives and cost targets.
• Prepare and organize project files, permits, and inspection records.
• Maintain up-to-date logs for RFIs, change orders, and project milestones in order to upport preparation of status reports and internal updates.
• Provide on-site presence as needed during key project phases or operational issues.
• Collaborate with internal or third party property management and building operators on temporary access, shutdown notices, and tenant communication.
• Gain exposure to lease interpretation, CAM allocations, building systems, and landlord obligations.
• Perform additional duties as reasonably assigned by the Management team in alignment with project and operational priorities.
Qualifications
• Must be fluent in Mandarin Chinese and English (read, write, speak, and listen).
• Must be legally eligible to work in Canada without sponsorship.
• Post-secondary education in construction management, engineering, real estate, or a related field is preferred.
• 2+ years of experience in construction, facilities management, or property operations, ideally within real estate or asset management.
• Strong organizational, communication, and time management skills.
• Ability to handle multiple projects simultaneously and work effectively with cross-functional teams.
• Proficiency with project tracking tools and Microsoft Office Suite (Excel, Word, Outlook).
• Understanding of construction documents, contracts, and budget tracking.
• A proactive attitude and willingness to learn and grow within a supportive team environment.
Compensation
• Salary Range: $60,000 – $65,000 per year, based on relevant experience.
