We are seeking a detail-oriented Office Clerk to join our team. This role is focused on preparing and managing customer quotations, ensuring that all pricing, terms, and details are accurate and timely. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to effectively communicate with clients and internal teams to ensure that quotation processes run smoothly.
Key Responsibilities:
1. Prepare accurate and competitive quotations for customers based on product/service specifications, prices, and terms.
2. Ensure that all quotations reflect the most current and accurate pricing, discount structures, and terms as per company policies.
3. Help clients to understand their requirements and clarify any details related to quotations. Respond promptly to inquiries, providing updates or adjustments when needed.
4. Collaborate with sales, procurement, and production teams to gather necessary information and ensure that quotes align with stock availability, delivery timelines, and customer needs.
5. Monitor the status of all issued quotations, track responses, and follow up with clients to confirm decisions or address any additional questions.
6. Maintain organized records of all issued quotations, ensuring they are stored electronically and/or physically in a systematic manner for easy access and future reference.
7. Address customer concerns or discrepancies related to quotations, ensuring a high level of customer service and satisfaction throughout the process.
8. Perform general office duties, such as filing and organizing, related to the quotation and sales process.
Qualifications:
1. Proven experience in quotation preparation or sales administration is a plus.
2. Strong attention to detail and organizational skills.
3. Proficient in document management software and Microsoft Office Suite.
4. Excellent communication and interpersonal skills.
