Position Summary:
The Legal Assistant (Corporate & Commercial) provides administrative and document support to lawyers handling business, corporate, and commercial matters. The ideal candidate is organized, detail-oriented, and able to communicate effectively in English and Mandarin or Cantonese. This role is well-suited for someone with strong office administration skills who enjoys working in a professional environment supporting business and legal transactions. Prior legal experience is an asset but not required, as training will be provided.
Key Responsibilities:
Corporate Support
• Assist in preparing and organizing corporate records such as incorporation documents, annual reports, resolutions, and minute books.
• Maintain corporate databases and ensure records are accurate and up to date.
• Help prepare documents for business transactions such as share transfers, partnership agreements, and company reorganizations.
• Conduct basic online searches and filings through government and registry platforms (training provided).
Commercial and Transactional Support
• Prepare, proofread, and format contracts, letters, and other legal documents from templates or drafts.
• Assist in organizing transaction materials, closing documents, and signing packages.
• Coordinate document signatures and track deadlines.
• Liaise with clients and other professionals (accountants, law offices, registries) as needed.
Administrative & Office Support
• Manage calendars, emails, and correspondence for lawyers.
• Maintain well-organized electronic and physical filing systems.
• Assist with time entry, billing, and basic accounting tasks.
• Schedule meetings, prepare document packages, and handle general office administration.
Qualifications:
• Post-secondary education in office administration, business, or equivalent experience.
• Strong computer skills, including Microsoft Word, Excel, Outlook, and Adobe Acrobat.
• Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
• Strong written and verbal communication skills.
• Ability to handle confidential information with discretion and professionalism.
• Previous experience in a law office, accounting firm, or corporate administrative role is an asset, but not required.
Assets (Preferred):
• Familiarity with government or corporate registry filings (training can be provided).
• Experience using document management or practice management systems.
• Interest in learning about corporate and commercial law procedures.
